Campaign Workflow: Scheduling, Running, and Analysis

This article provides a step-by-step guide for Admins and Org Admins on managing the lifecycle of a simulation—from technical testing and template selection to launching campaigns and analyzing results.

Note on Template Access: When you navigate to the Templates module, you will see two sections: System Templates and My Templates. To edit or customize a template, you must first Clone it from the System library, which automatically places it under My Templates. Once a template's setup is completed and saved (no longer in a draft state), the Test Template and Create Campaign options become fully accessible.


1. Launching a Campaign or Test Simulation

Whether launching an immediate campaign, scheduling one for the future, or executing a quick dry run, the process begins in the Campaign Creation wizard.

Step-by-Step Creation Flow:

  1. Initiate Creation:

    • Click Create Campaign from the top menu, or navigate to Templates > preview a template > click Test Template or Create Campaign.



  1. Campaign Details:

    • Campaign Name: Enter a unique title.

    • Target Groups: Select your target employee user group(s).

    • Campaign Expiry: Choose a duration (7 Days, 15 Days, or Custom).

    • Configurations: Toggle optional settings like User Reply tracking or Credential Harvesting.


  1. Template Selection: Select single or multiple templates to include in the campaign (see Template modes below).

  2. Choose Execution Mode (Preview & Launch):

    • Review all configuration details on the Preview step and click Run Campaign.

    • A Campaign Run Mode pop-up will appear with three options:

  • Run Immediately: Starts the live simulation right away and records all dashboard metrics.

  • Run as Test Campaign: Runs a technical test to verify email deliverability and whitelisting without logging analytics or skewing dashboard reporting data.

  • Schedule for Later: Sets a specific future date and time for the simulation to automatically trigger.

[!IMPORTANT] Permanent Expiry Notice: Once a campaign is launched with a selected expiry timeline, the duration cannot be modified. Always verify your schedule before confirming.


2. Understanding Template Modes (Single vs. Randomization)

On the Template Selection step during campaign creation, you can choose how templates are distributed to your targeted employees.

Template Modes:

  • Single Mode: Select one specific template to send to all target users in the campaign.

  • Random Mode: Select multiple templates (minimum of 2 templates) to distribute phishing scenarios randomly across your audience.

How Randomization Works:

  • The platform automatically divides the selected templates evenly among the targeted group (e.g., selecting 3 templates for a group of 150 employees will distribute each template to roughly 50 users).

  • This prevents employees from receiving identical simulated emails, creating a more realistic and varied assessment environment.

3. Explaining Execution Metrics & Analytics

After a live campaign starts or finishes, you can evaluate organizational risk and performance metrics in real time directly from the Campaign Dashboard.

Accessing Analytics:

  1. Navigate to Campaigns on the left menu sidebar.

  2. Click on the specific Campaign Name you wish to analyze.

Key Performance Views & Tabs:

A. Campaign Analytics Tab

  • Header Summary: Shows basic metadata including Attack Vector, Type, Created On date, total Users, Groups, and the Overall Campaign Health score.

  • Core Activity Gauges:

    • Email Sent: Total number of simulation emails successfully delivered.

    • Email Opened: Count of users who opened the simulated email.

    • Link Clicked: Count of users who clicked the simulated phishing link.

    • Data Submitted: Count of users who entered credentials or data on the landing page.

    • Email Reported: Count of users who correctly reported the email as a phishing attempt.

  • Risk & Performance Cards:

    • Phish Risk Rate: Percentage rate evaluating total user failure risk (e.g., High Risk).

    • Average EVS: The average Employee Vulnerability Score calculated for participants in this campaign.

    • Minimum Breach Time: The fastest time recorded for a user falling for the simulation after launch.

    • Remaining Health: The remaining overall health percentage for the organization (e.g., Critical, High, Good).

B. Users Analytics Tab

  • View granular, user-by-user engagement logs, completion status, and technical metadata (device, browser, location) for each target employee.

C. Campaign Details Tab

  • Review original parameters set during creation, such as campaign duration, attached templates, and active configuration flags.

D. + Follow-up Campaign Button

  • Located in the top right corner, this allows admins to directly create a targeted follow-up campaign for users who failed or did not engage with the primary campaign.
